Establishing a Clear and Consistent Digital Folder, File and Media structure is Crucial.
A clean naming system and clear file structure transform a mess of random files into an organized, easy-to-search library. This saves hours of frustration and keeps key family details attached to every photo. Once your digital structure is ready, capturing your physical items with a camera becomes straightforward. In the following paragraphs, I will show you how simple it is to build a lasting, searchable family archive.
File Naming Strategy: Why Location Indicators, Not Image Content, Are Key
Never name digital files based on their content. Instead, structure your file and folder names as direct, precise coordinates that lead back to the physical box, binder, or container where the original media is stored.
I recommend using the following folder structure on your computer, as displayed in the image below.
Level 1: The Master project folder, and inside that…
Level 2: The capture folder (RAW files)
Level 3: An output folder (for edited and ready TIFF images)
(This is where the main folder structure for your images lives, and full details are covered further on.)
Level 2 and Level 3 folders above will have the exact same folder structure (that is, if you choose to keep your original RAW files).
Enhancing Metadata: Involving Family Members for Genealogical Insights
The program you choose for managing and editing images will help you handle existing metadata, such as descriptions and keywords. Metadata entries remain permanently with the image, ensuring this important information is always easy to find.
In the metadata description field, provide a complete description of the image (with help from grandparents). Also, include the image’s folder/media/file name label (e.g., KFA-AG01-Album-01-img-01) within this description.
Next, extract relevant keywords from your chosen description and enter them as separate keywords or short keyword phrases.
A consistent, location-based naming scheme is a key element of our new, extensive archive database. This system will improve the overall organization of our digital assets and simplify file retrieval. Adhering to these naming conventions will ensure that our historical records are easily accessible to future generations.
Ancestry Photo Archive: Involving parents and grandparents
A family member, acting as “Historian,” will narrate the stories behind each picture, unraveling the mysteries within. We’re not merely cataloging titles and keywords; we’re crafting a narrative. Engaging your parents and grandparents in this research is like assembling your family’s Justice League. Your ancestors are the heroes of your story, and only those who lived through it can truly tell it. Grandparents are a treasured source of family secrets; they have witnessed everything and possess a wealth of knowledge.

Your grandparents’ insights are the basis for your keywords, descriptions, and metadata—the very DNA of your family’s history. Act quickly: While your grandparents are still your wisest guides, leverage their experience. Most, I suspect, will be pleased to contribute. Once your grandparents embark on their “eternal exploration,” you will permanently lose much of this important information. It is essential to talk to them, write down their memories, and record their stories. This activity not only keeps your family’s history alive but also strengthens the bonds that connect you.
Create the archive prefix based on family names
We will begin by creating a structured digital photo archive. We’ll establish a unique prefix based on our last name. For instance, my last name is Klein, so my main prefix is “KFA,” signifying “Klein Family Archive.” This short prefix uses “K” for the first letter of your last name and “FA” for “Family Archive,” forming the foundation of our entire organizational system.
Each picture will then receive a unique name, such as “KFA-AG01-ALB01-IMG01.” This example demonstrates how the prefix combines with identifiers for archive groups (“AG01”), albums (“ALB01”), and individual images (“IMG01”), ensuring clear and easily searchable categories. Below is a list of recommended archive media groups and types.
AG01 = Albums
AG02 = Other curated/organized prints
AG03 = Container of prints (no negatives).
AG04 = Container of prints (with negatives)
AG05 = Mounted slides.
AG06: unmounted slides
AG07 = loose film (35 mm)
The computer master folder for this family would be called KFA-Klein Family Archive, based on the example above. Here is a list of the main names for archive groups, based on the type of media. If you have a roll of 35 mm negatives, create a name for your computer folder. The media container must use the same name.

Expand archiving groups to include more film types
You can expand the above film archive media types. This is useful if you want to add extra classifications for varied sizes of film. This will allow you to include them. For example:
AG07 = loose film (35 mm)
AG08 = Loose film 120
AG09 = Loose film 126
AG10 = loose film 6×7 centimeters
AG11 = Loose film 4×5 inches
AG12 = Artworks, newspaper articles, etc.
The new expanded list would then look like this:
AG01 = Albums

Prioritizing the Capture of Negatives
Matching prints to their negatives can be challenging and time-consuming. Maintaining accuracy often requires a keen eye and a systematic approach. Negatives and slides usually boast superior picture quality compared to older prints, revealing finer details and richer colors. As the original and most protected media, they are essential for producing high-quality copies.
For these reasons, prioritizing film capture is essential to maintaining the quality of the original images and enhancing the overall visual experience. When original negatives are available, always capture them before the prints. Once captured, place the negatives in a new sleeve, label it, and add it to the negatives “Done” pile.
Sometimes, you may want to preserve the charming nostalgia of a vintage print, even when prioritizing negatives. In such cases, you can capture both the print and its negative. You only need to use both techniques if you wish to retain the original “blemishes of age” often found on these frequently handled old prints.
Rename Each Image Using the Archive Group Row
To ensure clarity and flow, it is crucial to use a consistent and informative naming convention for your digital files, based on the Archive Group Row. For example, naming your computer folder KFA-AG01-ALB01 creates a strong connection to the original vintage container KFA-AG01-ALB01, which serves as the primary media descriptor link.
We will later extend this to the full media descriptor and folder/filename combination, such as: ‘KFA-AG01-ALB01-IMG01.RW2‘. This name indicates that the file originates from Archive ‘KFA’ within media group ‘AG01’, specifically from Album ‘ALB01’, and is the first image. The last three characters, ‘.RW2’, denote the file type, which in this case is a Panasonic Lumix RAW file.
Using a limited character set for filenames is essential. Ideally, use only letters, numbers, dashes (-), or underscores (_). You should strictly enforce this consistency throughout your entire archive.
This methodical approach to folder organization and filename creation allows for quick identification of digital files. It also offers a direct cross-reference to the actual vintage image through its container label.
Resolve Conflicting Archive Prefix Names
As we saw above, each archive requires a unique starting prefix (as illustrated below). This is not a concern when working solely on your family archive, but it becomes crucial when managing multiple family archives. If you work with families whose surnames share the same initial letter as yours, the standard prefix will cause conflicts.
To resolve this, I recommend modifying the prefix. I normally incorporate the first three or four letters of the family’s postal code, then add their street number. This ensures distinct identification for each archive. (For readers in other countries, you will need to adapt the postal code part accordingly.)
Existing archive: KFA—Klein Family Archive
The modified archive for another family with the surname Keefer would now be
KFA-RG6122—Keefer Family Archive
. You may find another solution to this problem, but just make sure that every archive prefix is unique!

Organizing your media before capture can significantly streamline the processand save valuable time. Begin by sorting loose prints by size to reduce the need for repeated adjustments during capture. Similarly, separate photo albums and framed prints to facilitate a more focused and efficient workflow.
Categorize negatives and slides by film type and size. This reduces the frequency of changing film carriers or masks, which enhances overall productivity. Additionally, keep artworks and newspaper clippings in distinct groups. This simplifies handling and ensures the capture process remains smooth and orderly.
By systematically preparing these media groups, you can avoid unnecessary interruptions and achieve better results. This method not only streamlines organization but also allows for easy retrieval when needed. A well-structured approach to sorting and storing these items will contribute significantly to the quality and effectiveness of your projects.
Albums and Collections: Capturing Important Themes
Family photo albums are curated historical documents. Every layout, handwritten annotation, and image placement demonstrates clear intent. A young soldier’s World War II postcard from Egypt (above), for example, conveys far more than just his image—it captures his lived experience.
Digitizing these camera originals requires capturing intricate details, including back-of-print inscriptions, album layouts, and the physical condition of the photograph itself. These subtle elements provide crucial metadata and precise keywords for genealogical research. Documenting both the visual media and its physical context ensures future generations can not only view an ancestor’s image but also truly understand their story.
How to Continue with Sorting and Capturing Film and Print Media
Follow the steps below when dealing with mixed negatives and prints in a container. First, capture the negatives and process them using ‘FilmLab Desktop‘ to convert them into positives. This application allows me to clearly see which negatives correspond to the prints within the same wallet or container, a process significantly easier than attempting to inspect the negatives with a loupe beforehand.
Create Sorting Piles. Start by organizing ‘To-Do’ and ‘Done’ piles for each media type (e.g., negatives, prints).
For sleeves with only negatives.
Capture the negatives.
Label the sleeve after capturing.
Place the sleeve in the negatives ‘Done’ pile.
If the prints and negatives do match:
Capture the negatives only.
Label the negative sleeve and place it in the negatives ‘Done’ pile.
Label the print envelope. Then place it in the prints ‘Done’ pile. But, capture specific prints ‘as they are’ if you wish to do so for nostalgic purposes.
If the prints and negativesdo not match:
Separate the negatives and prints and repackage.
Label their containers individually each with a new archive label.
Capture the negatives, re-sleeve and place them in the negatives ‘Done’ pile.
Place the prints on the prints ‘To Do pile‘.
Where some prints match – others don’t
Separate non-matching prints into a new, labeled container and place them in the prints’ To-Do-pile with a new label.
Capture the film roll and label the sleeve.
Please move the negatives to the negatives ‘Done’ pile.
Place matching prints in the prints ‘Done’ pile unless you wish to additionally capture specific prints for nostalgic purposes.
Make sure that all labeled containers are clearly marked to avoid confusion during future sorting. Once everything is organized, take a moment to review the process and identify any possible improvements. These improvements will streamline your workflow.
Create Media Label Before Capture
Creating a physical media container label is the most critical first step in your digital archive. This printed paper label must match the computer folder name for that specific capture session (e.g., KFA-AG01-ALB01).
Before digitizing a single image, photograph this label as your first frame. This “label shot” creates an unmistakable visual record that lives alongside your image files, keeping your growing collection organized and searchable.
Once the capture session is complete, attach the physical paper label directly to the album’s back cover or media container. This permanently links your physical originals to your digital file structure.

Your entire digital archive consists of the instructions above. It includes the folder structure on your computer’s internal drive. It also includes the keywords and descriptions entered in the IPTC metadata of your captured images.

Above, the third row from the top (KFA-AG07-ROLL01) is the label physically attached to its corresponding container. The negative wallet is shown in the second image below. This one-to-one match is crucial for a well-organized digital archive, as it allows you to instantly find the digital files linked to a specific physical item and vice versa. The wallet pictured below contained negatives and matching prints; however, I only captured the negatives.
